AI-Assisted Note Taking

At Calm Sanctuary Psychology, we use NovoNote, an AI-assisted clinical note-taking tool developed by NovoPsych specifically for healthcare professionals.

We have introduced AI-assisted note taking to allow your psychologist to focus more fully on you and the therapeutic conversation, rather than needing to spend as much time writing notes during your appointment. It also supports accurate and comprehensive clinical documentation and may assist with continuity of care, including communication with your GP or other treating professionals where appropriate.

How does NovoNote work?

When NovoNote is used during your appointment, audio from your session is temporarily captured and processed so that NovoNote can convert the conversation into a written transcript, which is then used to generate a clinical summary.

The session audio is not permanently stored or retained as an audio recording. Once transcription has been successfully completed, the audio is deleted immediately. If transcription is unsuccessful, the audio is held securely only until the note can be recovered.

Your psychologist reviews and edits the generated clinical summary before it is saved to your clinical file. NovoNote does not replace your psychologist's professional judgement, and your psychologist remains responsible for the accuracy and content of your clinical documentation.

Depending on the settings used, the written transcript may either be deleted once the clinical summary has been created or retained securely as part of your clinical record. Your psychologist can advise you which setting applies to your sessions.

How is my privacy protected?

NovoNote has been designed for use by healthcare professionals and incorporates a number of privacy and security measures.

According to NovoPsych:

• Identifiable information is redacted before processing, so the underlying AI models do not receive personally identifiable information.

• Your data is not used to train AI models.

• Data is encrypted while being transmitted using TLS 1.2 or higher and while stored using AES-256 encryption.

• Data is stored on secure servers located in Australia.

• NovoNote is independently certified to ISO 27001 and SOC 2 Type II standards and uses role-based access controls.

• NovoPsych states that NovoNote is designed to meet applicable healthcare privacy and security requirements, including the Australian Privacy Principles.

Your consent and your choice

NovoNote will only be used during your psychology sessions after you have provided your consent.

Before providing consent, you are encouraged to read the information on this page and ask any questions you may have about how NovoNote works or how your information is handled.

Consent is provided for a specified period and may be reviewed if there are changes to the service or the way NovoNote is used.

You may decline the use of NovoNote or withdraw your consent at any time. Choosing not to use AI-assisted note taking, or withdrawing your consent later, will not affect your access to psychological services or the quality of care you receive from Calm Sanctuary Psychology.

If you withdraw your consent, NovoNote will not be used during future sessions.

Your psychologist remains responsible for your care

NovoNote is used as a documentation support tool only. It does not replace your psychologist or independently make decisions about your psychological care.

Your psychologist remains responsible for reviewing and finalising your clinical notes and for all professional judgement, assessment, formulation, treatment planning and clinical decision-making.
